Mediability Privacy Statement

This Privacy Statement informs you about how we collect and use personal data, including data we collect from our website www.mediability.com and shop.mediability.no. The Privacy Statement applies to all Mediability-owned websites, and also all Mediability owned domains, services, applications, and products.

Mediability AS with all registered companies; Mediability Norway AS, Mediability Denmark AS, and Mediability Sweden AB, with managing directors and company CEO, respect your privacy. Our processing of personal data is made in accordance with the General General Data Protection Regulation (GDPR).

This Privacy Statement is available from a link on the footer on our web page and in our marketing emails.

How we use personal data

Depending on your relationship with Mediability, we collect and process your personal data as follows:

Sales and Marketing

Our website visitors choose actively if they want to provide us with personal information, connected to website features such as newsletter sign-up, events sign-up, for downloading resources from the website, for processing order requests, interest from our audience in promoted offering, and other marketing related activities, including email marketing.

Our core foundation of treating personal data is consent from each individual, unless otherwise specified. For anyone who would like to opt out and not receive marketing related information from us, we provide links to unsubscribe in all marketing emails.

What personal data is collected and what is it used for?

Marketing automation

For sales and marketing purposes, we collect and process name, email address, phone number, address, company, company role, and work title, in addition to responses for event sign-up invitations. In specific cases we may also collect information about professional interests, size of company, company details, site usage data and specific preferences related to our offering or to a marketing campaign. The data is stored in our email and marketing campaign tool, Mailchimp. Mailchimp is therefore our data processor for all data related to promotional activities.  Data is not shared outside of the Mailchimp system and is not accessible by anyone outside of Mediability or the data processor. Data is not used for any other purposes than what is initially intended for sales and marketing.

Website traffic analysis

In order to provide our web site visitors with personalised content and for analyzing our website traffic for improving and continuing to develop our website, we collect site visitor data as browser selections, preferences and settings, demographics, number of visits, sources, IP address, and activities during site visits. The data that is collected is de-identified and in an aggregated form. This means that we cannot trace information back to an individual user. We use the website analytics tool Google Analytics on our website. Google Analytics is therefore our data processor for website traffic analytics. Data from Google Analytics is used by our marketing mail and campaign tool, Mailchimp, for registering activities on our marketing leads and sales opportunities.  Data is also used by Salesforce, for leads and opportunity processing. Data is not shared outside of the Google Analytics system, the Mailchimp and/or Salesforce systems. Data is not accessible by anyone outside of Mediability or our data processors. Data is not used for any other purposes than what is initially intended for sales and marketing.

Sales process

For any sales transaction or data collection for registering interest in our products and services, we collect all required data to be able to send a sales quotation, to process a sales order, to invoice a customer, and/or for shipping orders. The data is stored in our CRM system, Salesforce and in our logistics system, Visma. Salesforce and Visma are therefore our data processors for all data related to customer transactions and orders. Data is not accessible by anyone outside of Mediability or our data processors. Data is not used for any other purposes than what is initially intended for sales and marketing.

Events sign-up

All promotional events are the responsibility of the marketing team in Mediability, including event sign-up. When we receive a sign-up for an event, we collect personal data for event planning and for event invoicing (if applicable). We collect and process name, email address, phone number, address, company, company role, and work title, in addition to responses for event sign-up. When we collect sign-ups for an event, we also ask for approval to add the person’s name and email address to our general marketing newsletter list, for post event follow-ups and marketing newsletters. The sign-up data is collected in Mailchimp. Mailchimp is therefore our data processor for all data related to event sign-up. Data is not accessible by anyone outside of Mediability or our data processor. Data is not used for any other purposes than what is initially intended for sales and marketing. Personal data from event attendee lists is deleted post event, unless the attendee has approved for us to keep the data for marketing follow ups.

Website CMS

Our website is built on and runs on the WordPress platform. WordPress is our website Content Management System. We do not store any personal data from site visitors in WordPress.

Accounting

For our sales transactions we collect all required data to be able to process a sales order and to invoice a customers, and for financial audit and company legal reporting.

What personal data is collected and what is it used for?

For accounting purposes we collect information required for identification, for invoicing, and for account registration. The data is stored in our accounting system, Visma. Visma is therefore our data processor for all data related to sales transactions, and invoicing. Data is not accessible by anyone outside of Mediability or our data processor. Data is not used for any other purposes than what is initially intended for accounting. See above Sales and Marketing section for information about data handling for the Mediability sales process.

Recruitment

Mediabiliy’s job openings are shared on our web page and social media marketing channels.

For our job openings we use a web-based recruitment platform where the applicant chooses an open position on our webpage and attaches an application and CV to this, which is registered in our recruitment solution.

What personal data is collected and what is it used for?

For our recruitment process we ask our job applicants for personal identification data, including what may be considered sensitive data, as part of the job application process. The data is collected and stored in Workable. Workable is therefore our data processor for all data related to job applications. Data is not accessible by anyone outside of Mediability or our data processor. Data is not used for any other purposes than what is initially intended for recruitment and statistics for our general recruitment processes and recruitment plans and strategy. Mediability collects approval from the job applicants to keep their personal data in our recruitment database for future reference. If the applicant does not give the needed approval for us to keep the person’s data, then data will be deleted either when the position is filled or when the job relationship with this person ends (if he/she is hired for the open position).

Services / Support

When customers contact our support we ask for personal data for customer or account identification and for the information needed to resolve the support issue.

What personal data is collected and what it is used for?

For support issue requests we ask for name, company, phone number, address, nature of support issue, information about technical systems and setup related to support issue, and other data required for us to process the support request and contact the customer. The data is collected and stored in Zendesk. Zendesk is therefore our data processor for all data related to services and support. Data is not accessible by anyone outside of Mediability or our data processor. Data is not used for any other purposes than what is initially intended for support and services. Data is deleted when a contract and/or engagement with a client related to services and support ends, unless we are forced to keep the data by law for audit reasons.

For sign ups for any of our services and/or support packages, we collect the required information to register a sales order. See above Sales and Marketing section.

Sharing of personal data

Mediability does not sell, rent or lease personal data to others.

How long is personal data stored?

Mediability will not contain personal data for longer than needed. We do however need to fulfil certain requirements for data storage related to financial audit and company legal reporting.

Cookies policy

A cookie is a a small text file (up to 4KB) created by a website that is stored in the user’s computer either temporarily for that session only or permanently on the hard disk (persistent cookie). Cookies provide a way for the website to recognize you and keep track of your preferences.

Mediability uses cookies for

  • Email & Marketing automation with Mailchimp for collecting data about user activities and engagement on website (cookie data is shared with Mailchimp)
  • Website analytics with Google Analytics (cookie data is shared with Mailchimp)
  • For Google AdWords: Google’s advertising system that we use for bidding on certain keywords in order for our clickable ads to appear in Google’s search results (cookie data is shared with Mailchimp)
  • Facebook targeted advertising with Facebook Pixel (cookie data is shared with Google Analytics and Mailchimp)
  • LinkedIn targeted advertising with LinkedIn Insight tag (cookie data is shared with Google Analytics and Mailchimp)
  • Twitter targeted advertising with Twitter conversion tracking (cookie data is shared with Google Analytics and Mailchimp)
  • Instagram targeted advertising (cookie data is shared with Google Analytics and Mailchimp)

Sharing of content from www.mediability.com

When you share a post with link to an article or page on mediabilty.com, the data that you share will be added to the social media platform of your choice. How the specific social media platform handles the data is regulated in your agreement with the specific social network platform of choice.

Surveys and questionnaires

Mediability uses Google Suite, with the application Google Form for any surveys where we ask for any personal data. For every survey that we publish or share, we always clearly state the purpose of the survey and how the data will be used, including if the survey is anonymous or not. Mediability does not share the survey data with anyone outside of our companies or use the data for any other purposes than informed of.

Email and phone

Mediability uses email and phone as part of our daily work routine for any internal and external general communication. Our email platform, Google Gmail, is part of Google Suite.

Each employee of Mediability is responsible for deleting outdated and non relevant emails, and at least once a year clean up his/her mail inbox. For employee contract terminations, Mediability deletes the former employee’s mail inbox, but selected mail threads may be transferred to colleagues for follow ups. Sensitive information is never sent via email. Also, please note that our emails are sent unencrypted.

Phone calls (from/to and date/time) are not systematically logged with a central phone solution.

Employee data

Mediability handles personal data of our employees for administering payrolls and to fulfill our legal personnel responsibilities. We comply with the laws and regulations for each country connected to our legal entities. Mediability registers all needed data to process salary payments, for defining salary levels, for time registration, for tax percentage, tax commune, and other required data about employees connected to their work instructions, contract and responsibilities, including any special work environmental requirements.
